Administration
- Prepare HOA and Board Meeting Agendas
- Attend all Board Meetings and take Minutes
- Review and prepare Minutes, get final approval from the Board and deliver to the HOA
- Review HOA governing documents (CC&Rs, By-Laws and Amendments, and Rules & Regulations, etc.) and provide constructive feedback as needed
- Maintain all HOA records
- Complete quarterly property walk-through to identify issues
- Assist in transfer of property and orient new owners
- Manage HOA emails and calls (as needed/requested)
- Ensure that all vendors have up-to-date liability insurance and certification
- Ensure that HOA insurance coverage is reviewed and maintained
- Work with Realtors, BK attorneys and/or collection service regarding any foreclosures, bankruptcies and/or short sales (or other legal issues that may arise)
Maintenance & Improvement
- Conduct biannual review of all current vendor contracts
- Request competitive bids from new vendors and present findings to the Board
- Oversee and review work by all vendors to ensure highest levels of quality
- Complete quarterly property walk-through and identify any issues
- Ensure annual Reserve Study is completed
Financial Oversight
- Receive and audit all vendor invoices and correct as needed
- Review of monthly/quarterly bank statements
- Create annual budget and review with HOA Board
- Open bank accounts and create journals
- Prepare monthly financial statements
- Provide balance sheet, profit/loss statements, and income statements
- Pay authorized bills on a monthly basis
- Facilitate refinancing and transfer of ownership
- Work with accountant to prepare 1099s and to file annual Federal and State tax returns
